The proposal you sent becomes the project structure instead of a separate document.
Agencies, consultancies, and professional services
Fifteen people or fifteen hundred — the model is the same when the client is paying for judgement rather than stock.
You sold a scope, delivered it across several people, and then had to reconstruct what happened in order to invoice it. The project manager knows. The finance person has a different version. Neither of them can point at the original conversation.

A senior person opens the day by asking three questions: what did we promise, what is late, and which client are we afraid of calling. Today should answer all three without a call.
Every business runs the same sequence, from first contact to money in. NoxOrigin keeps each step tied to the last: Customer → Opportunity → Quote → Project → Work → Invoice → Payment.
The steps are the same. What changes is the words you use for them, the pressure at each one, and who is responsible for it. This is how it reads for agencies & consultancies.
Enquiry
Customer → Opportunity
The brief arrives in an inbox, a WhatsApp thread, and someone's memory — and only one of those survives the month.
Scope
Quote
A proposal that is not a structured scope becomes an invoice argument three months later.
Engagement
Project
The project has to carry the client, the scope, the team, and the dates without inheriting the sales team's assumptions.
Production
Work
Billable and non-billable time are the same shape in most tools. Only one of them should be reachable by the client.
Invoice
Invoice
The invoice must be defensible line by line, and it must come from the work rather than from a retype.
Collection
Payment
A 45-day-old invoice nobody chased is the single most expensive line item in the business.
Margin
Reports
Knowing total revenue is not knowing which client is worth keeping.
What is different by next week.
Invoices reference delivered work, so the billing conversation stops being about trust.
You can name the three clients that consume most of your delivery capacity and most of your margin — and they are rarely the same three.
A new starter reads the client history instead of asking three people for context.
Chasing collection is a queue in the system, not a weekly guilt exercise.
Different people need different parts of the same information.
Everyone is looking at the same information. What changes is which part of it they are responsible for.
- Founder / ownerReads the money: who is profitable, what is outstanding, and which engagement is drifting.
- Sales / new businessOwns the opportunity, the next action, and the scope, without losing the thread before delivery.
- Delivery leadWorks the project queue and unblocks work, with the client context already attached.
- FinanceRaises quotes and invoices, records payments, and works the ageing list.
- Specialist / staffSees their own work and enough context to do it well, and nothing else.
NoxOrigin keeps the facts. You still make the decisions.
Keeping the facts in one place ends the argument about what happened. It does not make the decisions that were always yours to make.
- How aggressively to discount a repeat client without training them to expect it.
- Whether an over-budget project is worth finishing or worth stopping.
- When a scope change is a change request and when it is just the project being hard.
- Which client to fire, which payment to chase first, and which hire to make.
The product areas this depends on.
Before you look at pricing.
Is NoxOrigin agency management software?
No. It is a general operating record for the whole business, of which agency delivery is one part. If your business also sells stock or runs events, the same records carry those too — which is exactly what a dedicated agency tool cannot do.
Does it track time?
Time tracking is not the centre of the model. The centre is scope, delivery, and money staying connected. If billable hours are the thing you need to defend on an invoice, that belongs in the work and invoice records rather than in a separate timesheet product.
Can it handle multiple clients on one project?
Yes. A project carries the client context that created it, and the commercial records stay attached to that relationship rather than being re-entered per engagement.
What about proposals and contracts?
The commercial record starts at the quote, with line items, tax, and terms. Whatever you use to draft a proposal is a drafting tool; NoxOrigin is where the agreed scope becomes structured data you can deliver and bill against.
