Fee collection stops being a register that is correct only on the day it was last typed, because the invoice and the payment are the record.
Coaching centres, training institutes, and tuition businesses
Coaching centres, training institutes, and tuition businesses where a whole batch of learners arrives at once, and every one of them expects to be taught.
Enrolment is a rush that ends, and the fee is then collected across a term in instalments from a parent who is not the person who chose you. The staff list is enormous, the batches are full, and the fee register is not — so by the middle of the term nobody can say reliably which learners are paid up and which are one reminder away from being asked to stop attending.
The first fortnight of a batch is all counselling, admissions, and fee collection. The rest of the term is teaching with the fee register running in the background, and a monthly parents' meeting that is, in practice, an account review.
Every business runs the same sequence, from first contact to money in. NoxOrigin keeps each step tied to the last: Customer → Opportunity → Quote → Project → Work → Invoice → Payment.
The steps are the same. What changes is the words you use for them, the pressure at each one, and who is responsible for it. This is how it reads for coaching & training.
Enquiry
Customer → Opportunity
A parent calls because a neighbour's child improved, or a student walks in after a result. The counselling conversation is the sale, and it happens across a desk rather than inside a pipeline.
Course fee
Quote
A course is a fixed fee, an instalment plan, or a mixture — often with a concession agreed during counselling and recorded nowhere except the admission register.
Batch
Project
A batch is the unit of delivery: a teacher, a room, a start date, an end date, and a number of learners. It needs to be a record because both the timetable and the fees hang from it.
Teaching
Work
The teaching is the product, and the operational work around it — attendance, tests, parent updates, a substitute teacher on a Friday — is what slips when the fee position lives somewhere else.
Fee invoice
Invoice
A learner's fee is a GST invoice to a parent, and the instalment is a dated record rather than a column in a register that gets overwritten every month.
Fee collection
Payment
Most of a batch pays in the first week and a few never pay at all. A payment promise with a date attached is the difference between a reminder and an escalation to the management.
Term review
Reports
Billed, collected, and outstanding per batch and per centre is the review that tells you which cohorts are financially viable before you enrol the next one.
What is different by next week.
An outstanding fee has a date and an owner, so chasing it is a task rather than an awkward phone call made from memory.
You can read a batch's collected value against what was billed for it, before the next batch is confirmed.
Staff access is a PIN tied to a person, so whoever handled an admission is identifiable afterwards without a shared counter login.
A parent or learner's history is one record, so a new counsellor does not have to find the old receipt before quoting a renewal.
Different people need different parts of the same information.
Everyone is looking at the same information. What changes is which part of it they are responsible for.
- Centre head / ownerReads batch economics and outstanding fees across centres, and decides staffing and whether the next intake happens.
- Counsellor / admissionsExplains the course, records the enquiry and the fee structure, and completes the admission.
- AccountsRaises fee invoices, records the instalments that actually arrived, and works the outstanding list by age.
- Faculty / teacherSees the batch, its learners, and the work assigned to them, without access to fee records.
NoxOrigin keeps the facts. You still make the decisions.
Keeping the facts in one place ends the argument about what happened. It does not make the decisions that were always yours to make.
- Which concession to allow, and how far a generous one trains the next parent to expect it.
- When a part-payment arrangement has become a bad debt, and whether the learner still gets taught while it is being resolved.
- Whether a substituted lesson is a rescheduled session or a reduced batch value.
- What to do about a centre that enrols well and collects badly.
- Whether a popular course should be run in a second batch or kept at one.

Slow lead response cost calculator for coaching and education
Whether a faster first reply is revenue depends entirely on whether there is a seat free. This tool makes that dependency visible instead of hiding it in a conversion rate.

Payment promises and ageing
What each family owes, what was promised, and how old it is.
Before you look at pricing.
Do you hold student records, marks, or attendance?
No. It does not hold academic records, examination results, or attendance registers, and that should be a separate piece of software. What NoxOrigin holds is the business side: the enquiry, the batch as a delivery record, the fee structure, the invoices, the payments, and who is allowed to see them.
Can fees be taken in instalments?
Yes, and each receipt is recorded against the invoice it settles, including a part payment. Where a date has been promised, it is recorded as a promise with that date, so the ageing view shows what is late rather than only what is missing.
Do you handle more than one centre?
Multiple locations are handled through workspaces and branches, so a group of centres can keep their records apart while the consolidated view reads from the same underlying data rather than from a monthly export.
Can a counsellor raise an invoice?
That is a permissions decision rather than a product limit. Quotes, invoices, payment recording, and approvals are separate explicit permissions, and PIN-based access means every action carries a person rather than a shared login.
Is the fee raised as a GST invoice?
Invoices are GST-compliant with a tax breakup, and the rate and place-of-supply configuration is agreed for your business during setup rather than assumed.
